Personal data are all data that can be used to identify you (e.g. name, address, e-mail address, telephone number, etc.). Where personal data are collected on our website, this is always carried out on a voluntary basis.

The legal bases for data protection can be found in the General Data Protection Regulation (GDPR) and the German Teleservices Act (“Telemediengesetz”: TMG).   • Cookies: information which is automatically stored on the customer’s computer

    We often use cookies. Cookies do not damage your computer and do not contain viruses. Cookies are used to make our online presence more user-friendly, more effective and safer. Cookies are small text files that are stored on your computer, saved by your browser.

    Most of cookies that we use are “session cookies”. Our CMS system “Dia.Log” uses a standard PHP session cookie (PHPSESSID) that is automatically deleted when your browser is closed.

    Other cookies are saved on your device until you delete them. These cookies allow us to recognise your browser when you return to our website.

    You can configure your browser to inform you about the use of cookies so that you can decide on a case-by-case basis whether to accept or reject a cookie.   • What data is collected and for what purpose does asecos use your data?

    As a matter of principle, you can visit our website without disclosing your personal data to us. However we require you to register for certain services on our website (e.g. contact form), when we will ask for personal data such as your name and e-mail address. This data is called inventory data.

    Whenever possible we give you the opportunity to decide whether you want to disclose your data to us. However sometimes data is collected automatically. For example, your computer automatically sends us information when you use our website. This data is called usage data.

    To achieve the best possible transparency when handling your data, in the following section we differentiate between usage data and inventory data.


    Usage data

    Usage data are data that we process and store in an anonymised and pseudonymised form within the applicable legal framework. These are generally technical data that are often collected through automatic means. Our website provider automatically collects and stores information in server log files which your browser automatically transfers to us. These include:

    • Browser type and version
    • Operating system used
    • Website which linked you to our page (Referrer URL)
    • Websites which you visit
    • Date and time of your access
    • Your internet protocol (IP) address

    We use these technical data in an anonymised way, purely for statistical purposes, in order to continually optimise our internet presence and to enable us to provide an error-free website and create an even more attractive internet service. We would also like to ensure improved user-friendliness.

    These data are stored on secured systems separate from other personal information. The data cannot give information referring back to any individual.

    The basis for data processing is Art. 6 (1) (f) GDPR, which allows the processing of data to fulfill a contract or for measures preliminary to a contract.


    Personal data

    Inventory data are data that we collect and use with your consent in order to provide services requested by you, process your orders, and to enable us to respond to your individual contact requests. Furthermore, we use these data that have been collected, e.g. to improve our products and services, to send informational material, or to send out any products that are ordered.

    Data that are generated from e-mail requests to the e-mail address info@asecos.com and from the online form are stored in the asecos CRM system. Data are also stored from website forms in CSV files and on the web server. The responsible sales representative makes contact with a person (by telephone or by e-mail) in order to inquire about interest. Where a quote is requested, data required for creation of the quote are transferred to the ERP customer base.

    Your personal data are stored by us for the purposes of request processing and in case of any follow-up requests, with the following deletion periods:

    • until you request for us to delete the data;
    • until you revoke your consent to store your data;
    • once storage periods expire under the applicable commercial and tax laws; or
    • 6 months from the date of the defined purpose of the data no longer applying.

    In the following section, we will explain in detail where personal data are collected on the website.


    Contact form / request form

    In different areas across our online presence you are able to contact us using online forms. These forms involve the collection of obligatory data as outlined below. Obligatory fields are marked as such and ensure that we can contact with you.

    • Your request (quote request, specialist advice, product enquiry, request to receive newsletter)
    • Title
    • Surname
    • First name
    • Company address: Company name, street, post code, town/city
    • E-mail address

    All other data relating to you is voluntary.

    The personal data collected by us are stored and only used for the purpose as indicated by you and where applicable for the usage or transmission to third parties to the extent you have given consent for this. This may include the following, by way of example: 

    • For making contact with you
    • For sending catalogues or documents
    • For requesting quotes
    • For enquiring about products
    • For requesting specialist advice
    • For requesting an admission ticket for a trade fair/event
    • For requesting a servicing or maintenance service

    Any data transfer to asecos is secured. asecos uses the SSL (secure socket layer) transport protocol, which is currently considered as secure and meets the recommendations of the German Federal Office for Information Security (“Bundesamtes für Sicherheit in der Informationstechnik”: BSI). Your data are secured at all times against unauthorised access.

    Newsletter data

    On our website, we offer you the chance to sign up to our newsletter. In order to help you to best take advantage of all of our products’ benefits, we regularly send you our newsletter to your e-mail address (or occasionally also to your postal address) with tips and tricks as well as additional product information.

    If you would like to receive our newsletter, we require a valid email address as well as information that allows us to verify that you are the owner of the specified email address and that you agree to receive this newsletter.

    Furthermore, other personal data are collected in obligatory fields:

    • Your request
    • Title
    • Surname
    • First name
    • Company address: Company name, street, post code, town/city

    That data are used exclusively to send the information you have requested and are not passed on to third parties.

    Double opt-in and logging

    You can sign up to the newsletter by checking the tick box on the contact/request forms (“opt-in” selection). For verification purposes, your name, IP address and the request date will be stored in addition to your e-mail address for the sending of the newsletter.

    You will also receive an e-mail from us asking you to confirm that you would like to sign up to the newsletter (“double opt-in” process). Only once you click on the hyperlink sent in the e-mail to your e-mail address will the subscription to the newsletter be activated. This confirmation is required in order to ensure that nobody is able to sign up with an e-mail address that is not their own. Subscriptions to our newsletter are logged so that evidence can be provided of the subscription process in accordance with legal requirements. This includes storing of the time and date of the request and the confirmation, as well as your IP address.

    We will process any data you enter onto the newsletter request form only with your consent per Art. 6 (1)(a) GDPR. You may revoke your consent at any time.     The data that we store about you for the purposes of your newsletter subscription are kept until you decide to unsubscribe from the newsletter, after which time they are deleted. Any other data stored by us for other purposes will remain unaffected by this process. Your data will not be transferred to third parties without your consent.

    CleverReach

    This website uses CleverReach to send newsletters. The supplier is CleverReach GmbH & Co. KG, Mühlenstr. 43, 26180 Rastede. CleverReach is a service which organizes and analyzes the distribution of newsletters. The data you provide (e.g. your email address) to subscribe to our newsletter will be stored on CleverReach servers in Germany.

    Sending our newsletters with CleverReach enables us to analyze the behavior of newsletter recipients. Among other things, we can find out how many recipients have opened the email containing the newsletter and how often various links contained therein are clicked. With the help of conversion tracking, we can also analyze whether a predefined action (such as the purchase of a product on our website) takes place after clicking on the link in the newsletter.     Data processing is based on Art. 6 (1) (a) GDPR. You may revoke your consent at any time by unsubscribing to the newsletter. The data processed before we receive your request may still be legally processed.

    If you do not want your usage of the newsletter to be analyzed by CleverReach, you will have to unsubscribe from the newsletter. For this purpose, we provide a link in every newsletter we send. You can also unsubscribe from the newsletter directly on the website.

    The data provided when registering for the newsletter will be used to distribute the newsletter until you cancel your subscription when said data will be deleted from our servers and those of CleverReach. Data we have stored for other purposes (e.g. email addresses for the members area) remains unaffected.

    We have entered into an agreement with CleverReach for the outsourcing of our data processing and fully implement the strict requirements of the German data protection authorities when using CleverReach.


    Participation in online surveys

    In order to obtain direct feedback from our customers about their satisfaction with, and interest in our products and services and in order to improve the user-friendliness of our website, asecos has made a permanent survey available on its website.

    When concluding the survey, we would like to enquire about further information regarding the person surveyed in order to also reflect social factors in the survey results and therefore be able to improve our data analysis.

    During the survey, the following obligatory data are collected which refer to personal data:

    • Title

    Use of live chat software

    We use the live chat software "LiveChat" from LiveChat Inc. on our website. In our live chat we offer you the possibility to make direct contact with asecos employees and to get answers to your questions through a discussion in the form of a real-time chat.

    The software uses cookies in order to enable a personal discussion by means of a live chat on the website. In order to be personally addressed by an asecos employee, the user is requested to give a name. The data acquired thereby are not used to personally identify the visitor and they are not merged with the personal data of a user name. Personal data such as e-mail address, etc. are only used if supplied voluntarily.

    Callback service

    To offer you the chance to request that one of our staff calls you back as part of our callback service, you can get in touch with us using the callback form. In order to process your callback request, the following obligatory data are collected:

    • Name
    • Telephone number
    • Desired date for callback
    • Post code, country
    • Your request (quote request, specialist advice, product enquiry)

    If you do get into contact with us using the callback service form and organise a telephone callback from us, a CSV file will be written to our web server with this data. We guarantee strictly confidential handling of your data and use your personal data exclusively for the purposes of processing your callback request.


    Publication of vacancy announcements / job applications

    We electronically collect and process your application data for the purpose of completing the application process. If your application results in the conclusion of an employment contract, the data collected from you may be stored in your personnel file for purposes of normal organizational and administrative processes in compliance with appropriate legal requirements.

    Upon rejection of your application, data you have provided is automatically deleted two months after notification of rejection. This does not apply in such instances where, due to legal requirements (such as the burden of proof obligation stipulated in the Equal Treatment Act) a longer storage period is necessitated or when you expressly agreed to have your data stored for a longer period in our database of prospective applicants.

  • Are data encrypted?

    This site uses SSL or TLS encryption for security reasons and for the protection of the transmission of confidential content, such as the inquiries you send to us as the site operator. You can recognize an encrypted connection in your browser's address line when it changes from "http://" to "https://" and the lock icon is displayed in your browser's address bar.

    If SSL or TLS encryption is activated, the data you transfer to us cannot be read by third parties.

  • Does asecos pass your data on to third parties?

    When you send requests to us using the forms on our website, your data from the request form, including any contact data provided by you in the form are stored by us for the purposes of processing your request and for any possible follow-up requests.

    These personal data will not be transferred by us to any third parties unless this is required in order to carry out the purpose as requested, or this is required for the purposes of processing a contract, or you have given your express consent to this effect. For example, it may be necessary for asecos to transfer data regarding your address and order information to a specialist supplier in cases where you have requested a quote or have placed a product order.

    Within our online content, there is integrated content from other websites, e.g. videos from YouTube, maps from Google Maps, or images from other websites. This content always requires for the IP address of the user to be sent to the content provider (henceforth “third-party provider”), as without this IP address, the content cannot be sent to the browser of the corresponding user. As such, the IP address is required for this content to be displayed. We make an effort to only use content whose corresponding provider uses the IP address exclusively for the purposes of delivering their content. However, we have no control over whether third-party providers store IP addresses e.g. for statistical purposes. In this regard, please see the relevant data protection information of the corresponding providers.

  • What rights do you have regarding your data?

    Information, blocking, deletion

    As permitted by law, you have the right to be provided at any time with information free of charge about any of your personal data that is stored as well as its origin, the recipient and the purpose for which it has been processed.   • Google Analytics with the anonymization feature

    On visiting our website, your surfing behaviour can be subjected to statistical analysis. This happens mainly through use of cookies and analytics programs.     Demographic data collection by Google Analytics

    This website uses Google Analytics' demographic features. This allows reports to be generated containing statements about the age, gender, and interests of site visitors. This data comes from interest-based advertising from Google and third-party visitor data. This collected data cannot be attributed to any specific individual person. You can disable this feature at any time by adjusting the ads settings in your Google account or you can forbid the collection of your data by Google Analytics as described in the section "Refusal of data collection".

  • Google Ads (AdWords) and Google Conversion Tracking

    This website uses Google Ads (AdWords). Google Ads (AdWords) is an online advertising program from Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, United States ("Google").

    As part of Google Ads (AdWords), we use so-called conversion tracking. When you click on an ad served by Google, a conversion tracking cookie is set. Cookies are small text files that your internet browser stores on your computer. These cookies expire after 30 days and are not used for personal identification of the user.   • Use of YouTube components

    On our website, we use components (videos) from the company “YouTube” LLC 901 Cherry Ave., 94066 San Bruno, CA, USA, a company of Google Inc., Amphitheatre Parkway, Mountain View, CA 94043 USA.

    When using these components, we use the “extended data protection mode” offered by YouTube, as the actual data requests of the YouTube Player occur via “www.youtube-nocookie.com”.

    When you access a page which contains an embedded video, a connection to the YouTube servers is established and the content is then displayed due to information being sent to your browser on the website.

    According to information from YouTube, when in “extended data protection mode” data are only sent to the YouTube server (particularly regarding which of our webpages you have visited) when you watch the video content. If you are logged into a YouTube account at that time, this information will also be associated with your YouTube user account. You can prevent this by logging out of your YouTube account before visiting our website.

    YouTube is used to help make our website appealing. This constitutes a justified interest pursuant to Art. 6 (1) (f) GDPR.

  • Use of live chat software

    We use the “Live Chat” software "provided by LiveChat Inc. on our website. The live chat offers the opportunity to have direct contact with asecos employees and clarify your questions in the form of a real-time conversation.

    The software uses cookies to enable a personal conversation by means of a live chat on the website. In order to be addressed personally by an asecos employee, the user is requested to state a name. The data collected in this process is not used to personally identify visitors and this data is not merged with personal data of a user name. Personal data, such as e-mail address etc., is only used if it is provided voluntarily.
